Privacy Policy

This policy explains what personal data VDA Trade Cooperation collects through this website, why we use it, who we share it with and what rights you have. It applies to vdatradecooperation.com in all its language versions.

1. Who we are

VDA Trade Cooperation is the trade name of VDA E-Ticaret İthalat ve İhracat Ltd. Şti., a company registered in Türkiye, and the data controller for this website.

2. What data we collect

Information you send us. When you use the RFQ or price request form: your name, company, email address, phone or WhatsApp number, country, the details of your request (product, specification, quantity, delivery port, timeline) and any file you attach.
Messages. When you contact us by email or WhatsApp: your contact details and the content of your messages.
Usage data. Pages visited, device and browser type, approximate location (country or city), the page or ad that brought you to the site, and actions such as form submissions or clicks on WhatsApp and email links. This is collected through cookies as described in section 6.
Technical logs. Our hosting provider records IP addresses and browser information in server logs for security and to keep the site running.

We do not ask for sensitive personal data. Please do not include it in your messages or files.

3. Why we use your data and on what legal basis

To answer your request and prepare quotations: steps taken at your request before a contract, and our legitimate interest in responding to business enquiries.
To manage an order or project if we work together: performance of a contract.
To follow up on your request and send related information: our legitimate interest. You can ask us to stop at any time.
To measure how the site is used and how our ads perform: your consent, given through the cookie banner.
To protect the site and meet legal, tax and accounting obligations: legal obligation and legitimate interest.

We do not sell personal data and we do not make decisions about you by automated means.

4. Who we share your data with

Manufacturers, refineries and suppliers we approach to prepare offers for your request. We share only the information needed for the quotation.
Service providers that run the website and our communication: Hostinger (website hosting and email), Microsoft (business email), Google (Google Analytics and Google Ads) and Meta (Meta Pixel, and WhatsApp when you choose to message us).
Logistics, inspection, insurance and banking partners when an order goes ahead, to the extent needed to deliver it.
Public authorities when the law requires it.

5. International transfers

We are based in Türkiye and our customers, suppliers and service providers are in several countries, including countries outside Türkiye and the European Economic Area such as the United States. When your data is transferred abroad, we rely on the safeguards available under the Turkish Personal Data Protection Law No. 6698 (KVKK) and, where it applies, the EU General Data Protection Regulation (GDPR), such as standard contractual clauses or your explicit consent.

6. Cookies

When you first visit the site, a banner lets you accept or reject analytics and advertising cookies. You can change your choice at any time with the “Cookie settings” link at the bottom of every page.

Necessary: vda_consent stores your cookie choice (6 months). pll_language remembers your language (1 year).
Analytics: Google Analytics (_ga, _ga_*, up to 2 years) measures visits and page use.
Advertising: Google Ads (_gcl_*, up to 90 days) and Meta Pixel (_fbp, up to 90 days) measure which ads lead to enquiries.

Meta Pixel loads only after you accept. For visitors in the European Economic Area, the United Kingdom and Switzerland, Google Analytics and Google Ads cookies are used only after you accept. For visitors in other regions, Google measurement is active by default and stops if you choose “Reject”.

7. How long we keep your data

We keep enquiry data for as long as needed to answer and follow up on your request, and for up to 3 years after our last contact. If we enter into a contract, related records are kept for the periods required by Turkish commercial and tax law. Analytics data is kept for up to 14 months. Data is then deleted or anonymised.

8. Your rights

Under KVKK and, where it applies, the GDPR, you can ask us to:

tell you whether we process your data and give you a copy of it;
correct inaccurate or incomplete data;
delete your data or restrict its use;
stop using your data for follow-up or marketing;
transfer your data to another organisation where technically possible;
withdraw your consent at any time, without affecting earlier processing.

Send your request to info@vdatradecooperation.com. We reply within 30 days. You also have the right to complain to the Turkish Personal Data Protection Authority (KVKK) or, if you are in the EU, to your local data protection authority.

9. Security

The site uses an encrypted connection (HTTPS). Access to enquiry data is limited to the people who handle your request, and business email accounts use two-step verification. No method of transmission over the internet is fully secure, so please do not send passwords or payment details through the forms.

10. Changes to this policy

We may update this policy when our services or the law change. The date below shows the latest version.
